Frequently Asked Questions
The Basics & Costs
Why should I use a travel advisor instead of just booking online myself?
Booking a big trip across multiple countries online can quickly turn into a part-time job of endless browser tabs, confusing reviews, and logistical guesswork. When you work with an advisor, you get personalized routing, vetted hotels, and a real human who handles the details. Plus, if anything goes sideways, you call me—not an automated call center.
Does using your service cost me anything extra?
Generally, not a penny. Most of my custom trip design and booking services are completely complimentary. You pay the same price (and often less) than what you see on major booking engines, with zero added markups. There may be markups for non-commissionable bookings (e.g. most airline flights) or particularly complex planning, but any such extras would be fully disclosed beforehand.
How do you get paid if your planning services are free?
Travel suppliers—such as hotels, cruise lines, and vetted tour operators—build a sales commission directly into their public rates. If you book directly with them online, they simply pocket that margin; if you book through me, they pay me for setting up the reservation, meaning my guidance comes at no cost to you.
Can you actually get better rates or perks than what I see on the internet?
Yes, frequently! Through preferred industry partnerships, I can often unlock complimentary room upgrades, daily breakfast for two, property credits for dining or spa services, and early check-in or late check-out. It’s the easiest way to travel like a VIP without paying extra for it.
Can you work within a specific budget, or do you only handle luxury trips?
I work across a wide range of realistic travel styles and budgets. What matters most is value: ensuring your budget is spent where it counts so you get the best possible comfort, location, and experience.
What if I find a cheaper price on an online booking website later?
Online aggregators sometimes list non-refundable "blind" rates with hidden fees or restrictive cancellation rules. Just send me the link—I’ll review the fine print with you, verify if it’s an apples-to-apples comparison, and match it whenever possible through our verified supplier channels.
Can I use my airline miles or credit card points with you?
Because airlines and credit card reward portals require account owners to log in directly, I cannot book award tickets using your points. However, I can advise you on which flights fit your itinerary best so you can book yourself and get the points, while I handle the rest. And using your points like that is often the most cost effective way to use them. I can help maximize that value proposition for you, even if you book yourself to use the points.
How Working Together Works
I’ve never done this before. What does the process look like from start to finish?
We kick things off with a brief chat (preferably by phone) about your vision, style, and budget. From there, I craft a tailored proposal, refine it with your feedback, secure the reservations, and deliver a clean, mobile-friendly daily itinerary.
What information do I need to have ready before I reach out?
A rough idea of who is going, an approximate timeframe, a target budget range, and the general vibe you want are plenty. It’s completely okay if your destination list is just "somewhere warm in southern Europe" or "Japan in the spring." The more details the better, of course, but flexibility is a good thing.
How far in advance should I start planning a trip to Europe or Asia?
For extended journeys, booking six to nine months out is the sweet spot to grab preferred hotels, prime train times, and popular sights. For peak travel seasons—like cherry blossom season in Japan or summer along the Mediterranean—starting nine to twelve months ahead gives you the best options. For Safaris, at least 10-12 months out, and even longer if you want some of the most popular properties and tours.
What happens if I don’t like the initial itinerary you put together?
No worries at all! Itinerary design is a collaborative conversation, not a high-pressure sales pitch. We’ll tweak destinations, switch out hotels, or adjust the pacing until the trip feels just right for you.
Do I have to book every single element of the trip through you?
Not necessarily. While booking your core accommodation, key transfers, and main excursions through one cohesive plan ensures the best protection and support, you are always free to book certain activities or your own flights if you prefer.
How will I access my itinerary while I’m traveling?
You’ll receive access to a streamlined travel app right on your smartphone that stores your daily schedule, confirmation vouchers, property addresses, and train details offline. I’ll also provide a downloadable PDF if you prefer having a paper copy tucked into your carry-on.
What if I need to change my dates or cancel my trip entirely?
Life happens, which is why I always prioritize flexible booking terms whenever possible. If you need to postpone or cancel, you don’t have to spend hours on hold—I will contact the suppliers, manage the cancellations, and help you navigate refunds or credits. This is also why we STRONGLY encourage clients to obtain travel insurance. For some trips (Safaris, for example) it is required. And yes, we offer options there as well.

Planning Extended & Multi-Stop Trips
How do we make sure a multi-week trip doesn't leave me completely exhausted?
Pacing is everything on extended trips. I build in multi-night stays in strategic hub cities, schedule "down days" for resting or wandering (or doing laundry) and ensure transition days don’t eat up your entire vacation.
Can you help arrange private airport transfers and luggage delivery?
Absolutely. In places like Japan, I can also coordinate luggage forwarding between cities so you don’t have to haul bags onto bullet trains.
How do you pick tours and guides that don’t feel like tourist traps?
I partner directly with vetted, local on-the-ground operators who prioritize small-group, skip-the-line, and private excursions led by licensed local guides. You get authentic cultural depth and local food spots rather than crowded buses and cookie-cutter tourist traps.
Can you accommodate dietary restrictions or mobility needs across different countries?
What if I want a lot of free time to explore on my own?
Yes, and we address this right at the start and I ensure suppliers are properly briefed ahead of time.
It’s your trip, so we will design it however you like. If freestyling things is your vibe, no problem. In fact, I can send you links even while you’re traveling that will allow you to book activities and tours etc “on the fly” if your plans change or you decide last minute that you want to do a certain activity or tour.
Can you combine a European land tour with a river cruise?
Yes, that’s one of the best ways to explore Europe at a relaxed pace. We can arrange a self-paced land stay in places like Paris or Prague, seamlessly connecting it to a luxury river cruise along the Rhine or Danube for a comfortable, unpack-once experience.
Group Travel & Cruises (10+ Travelers / 5+ Cabins)
We want to plan a big family or friend trip. How does payment work for everyone?
You won’t have to act as the group debt collector. I set up the group booking so each household can review their personal details and securely pay their own deposit and balance directly through my system.
What are the perks of booking as a group rather than individually?
When booking five or more cruise cabins or ten or more hotel rooms, suppliers often provide dedicated group discounts, complimentary berths or room upgrades, shared dining credits, and private cocktail receptions. It also guarantees everyone stays in the same area of the property or ship.
Can our group split up during the day for different activities?
Definitely. Group travel works best when people aren't forced into lockstep all day. I can arrange joint activities for milestone dinners and welcome toasts, while tailoring separate daytime excursions based on individual interests, fitness levels, and pacing.
How far ahead should we lock in a private group trip or cruise?
For groups of 10 or more, planning 10 to 14 months in advance is recommended. Group space for cruise staterooms and boutique European properties fills up quickly, and securing a block early locks in group rates before standard tier pricing climbs.
Can you handle special events like anniversary dinners or milestone celebrations?
Yes, that is a core part of group coordination. From booking private dining rooms in historic European venues to securing a scenic terrace or private charter for a family celebration, I coordinate the arrangements directly with local event coordinators.
What happens if someone in our group has to drop out at the last minute?
Because each traveler is booked onto individual confirmations within the group block, one person’s cancellation won't unravel the entire trip. I handle their cancellation process directly according to the supplier's terms without disrupting the rest of the party.
Logistics, Safety & Support
Do you help with visas, passport validity, and entry paperwork?
I verify that your passport meets the standard six-month validity requirement and guide you through international entry rules, electronic travel authorizations (like Europe's ETIAS), and tourist visa processes for Asia so there are no surprises at border control. But we do not process or otherwise handle those things.
What happens if my flight is canceled or severely delayed overseas?
Instead of waiting in an airport customer service line with hundreds of stranded passengers, you reach out to me. I work behind the scenes to help monitor flight options, coordinate with your airline, and notify your transfer drivers and hotels so your reservations remain secure.
Do I really need travel insurance for an international trip?
Yes, I strongly encourage comprehensive coverage for international journeys. Medical care abroad, emergency medical evacuation, trip interruption, and lost luggage can carry significant out-of-pocket costs, and quality insurance provides essential protection if unexpected events arise. Certain trips (primarily African safaris) require you at least have evacuation insurance. This is something we can offer as well.
How do I contact you if something comes up while I’m abroad?
You’ll have my direct contact details, including messaging options for quick text updates. You also have access to 24/7 in-country local supplier support hotlines for immediate, on-the-ground assistance in your destination's local time zone. Usually you will start with the local supplier (hotel, tour operator, restaurant etc) but can escalate to me personally if you need to, or if it’s a more general need/issue.
What happens if a hotel room doesn't match what was promised?
If an issue arises at check-in, notify me immediately. Because hotels value their relationships with professional travel advisors, a quick outreach on your behalf is usually more effective than addressing it alone at the front desk in the heat of the moment. Fora vets our partner hotels, so if there are any issues we want to know, and we want to resolve them ASAP.
Is it safe to travel right now?
I continually monitor the global threat environment for travelers and I will always provide an honest, objective safety overview so you feel comfortable with your plans.
I also recommend that clients register their trip with the US State Department STEP program for real time updates and travel advisories for Americans around the world. Your tolerance for risk is yours alone, but I will make sure you have the best and most up to date information available to help you assess that risk.
